Deacon Hill, LLC (dba IncentivIQ) ("IncentivIQ," "we," "us," or "our") operates the IncentivIQ platform at incentiviq.co and related services. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our website, platform, and services.
1. Information We Collect
1.1 Information You Provide
- Account information: Name, email address, password, company name, job title, and timezone when you create an account.
- Prospect information: First name, last name, work email, company, job title, and phone number submitted through campaign landing pages.
- Survey responses: Answers to qualification survey questions on landing pages, used to determine meeting eligibility.
- Payment information: Billing details processed through our payment providers (Lemon Squeezy, Paddle, or Stripe). We do not store credit card numbers or bank account details directly.
- Communications: Messages you send to us through email or support channels.
1.2 Information Collected Automatically
- Usage data: Pages visited, features used, timestamps, and interaction patterns within the platform.
- Device and browser data: IP address, browser type, operating system, and device identifiers.
- UTM and tracking parameters: Campaign attribution data including UTM parameters and LinkedIn click identifiers (li_fat_id) captured when prospects visit landing pages.
- Cookies: We use essential cookies for authentication and session management. See Section 7 for details.
1.3 Meeting Recordings and Transcripts
When enabled by the campaign operator, meetings booked through IncentivIQ may be recorded and transcribed using a third-party meeting bot service. Prospects are informed of this on the landing page before booking and in the meeting confirmation email. The meeting bot also identifies itself when joining the call.
- Full meeting transcripts are retained for a maximum of 72 hours after AI analysis to allow for quality review, then permanently deleted.
- Only a brief AI-generated summary (2-3 sentences) and a quality score are retained after the 72-hour window. The full transcript and recording are not stored long-term.
- Campaign operators may disable recording on a per-campaign basis.
1.4 Information from Third Parties
- CRM data: When a customer connects their CRM (such as Attio or HubSpot), we access contact, company, and deal information to sync meeting outcomes and attribute revenue.
- Calendar data: We access connected calendars (Google Calendar or Outlook) to read seller availability and create meeting events.
- Enrichment data: We may use third-party data providers to verify and supplement prospect information such as company name, job title, and phone number.
2. How We Use Your Information
- Operate and provide the IncentivIQ platform and services.
- Process and qualify prospects through campaign landing pages and surveys.
- Schedule, record, and analyze meetings for quality verification.
- Fulfill gift card rewards to prospects who complete qualified meetings.
- Sync meeting outcomes and prospect data to connected CRM systems.
- Attribute pipeline and revenue back to campaigns for reporting.
- Fire server-side conversion events to advertising platforms (LinkedIn) for campaign optimization.
- Send transactional emails including meeting confirmations, reminders, and reward notifications.
- Send SMS meeting reminders (with consent).
- Process payments and manage campaign budgets.
- Detect and prevent fraud, abuse, and gift-card-only meeting behavior.
- Improve the platform and develop new features.
- Comply with legal obligations.
3. How We Share Your Information
We do not sell or share personal information for cross-context behavioral advertising as defined under the California Consumer Privacy Act (CCPA). We disclose information only in these circumstances:
- With campaign operators: Prospect information submitted through landing pages is shared with the company running the campaign (our customer). They are the data controller for prospect data collected through their campaigns.
- Service providers: We use third-party services to operate our platform, including payment processors (Lemon Squeezy/Paddle, Stripe), email delivery (SendGrid), SMS delivery (Twilio), gift card fulfillment (Tremendous), meeting recording (Recall.ai), CRM integrations, and cloud hosting providers.
- Advertising platforms: We send conversion events (form submissions, meetings booked, meetings qualified) to LinkedIn for campaign optimization. These events contain limited data as required by the platform.
- Legal requirements: We may disclose information if required by law, legal process, or government request, or to protect rights, safety, or property.
- Business transfers: In connection with a merger, acquisition, or sale of assets, personal information may be transferred as part of the transaction.
4. Data Ownership and Retention
- Prospect data: Prospect data collected through campaigns belongs to the tenant (campaign operator), not to IncentivIQ. We process this data on behalf of the tenant.
- Account data: Retained for as long as your account is active, plus a reasonable period for legal and operational purposes.
- Meeting transcripts: Deleted 72 hours after AI analysis. Only the AI summary and quality score are retained.
- Payment records: Retained as required by applicable financial and tax regulations.
- Audit logs: Reward fulfillment and compliance audit records are retained for the duration required by applicable law and regulation.
5. Your Rights and Choices
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your personal information.
- Object to or restrict certain processing activities.
- Data portability where applicable.
- Withdraw consent for SMS communications by replying STOP at any time.

6. Security
We implement industry-standard security measures to protect personal information, including encrypted data transmission (TLS), encrypted storage of integration tokens and credentials, role-based access controls, and secure authentication. No system is completely secure, and we cannot guarantee absolute security.
7. Cookies
We use essential cookies for authentication, session management, and prospect identification (to recognize returning prospects on landing pages). We do not use third-party advertising cookies. LinkedIn tracking may use its own cookies via the LinkedIn Insight Tag embedded on campaign landing pages, subject to LinkedIn's own privacy policy.
8. International Data Transfers
Our services are hosted in the United States. If you are located outside the United States, your information will be transferred to and processed in the United States. We take steps to ensure appropriate safeguards are in place for international data transfers.
9. Children's Privacy
IncentivIQ is a business-to-business platform. Our services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email or through the platform. The "Last updated" date at the top reflects the most recent revision.
11. Your California Privacy Rights (CCPA)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose.
- Request deletion of your personal information.
- Opt out of the sale or sharing of your personal information (we do not sell or share as defined by CCPA).
